Custom CRM development, on your own code
Custom CRM software shaped like your business rather than a subscription bent around it: leads, deals and their history, roles, your website form writing straight into it, the chat your team already reads, and read-only doors for AI agents. We run three businesses of our own on one built this way.
$7,000–$12,000 · 2–3 weeks · fixed price · you own the code from day one
Should you buy a CRM or build one?
Buy first, if one fits. We would rather tell you that on the first call than build something you did not need.
A hosted CRM is the right answer when
Your sales process looks like the one the product was designed for, the fields you need are the ones it has, and the integrations you want are on its list. That is most businesses, and a subscription will be cheaper than a build for as long as it stays true.
A custom CRM pays when
People keep workarounds alive by hand — a spreadsheet beside the CRM, a status that means two things, a weekly copy-paste — or your vocabulary does not fit the product’s: a device in for repair, a car in the workshop, an item in stock after purchase.
And when other systems must work with it
Your website writing leads straight in, your team chat changing statuses, AI assistants filing requests and AI agents reading the data — without a vendor’s API tier deciding what is allowed. That is why our own businesses run on their own code.
What our CRM development services include
The parts below are the ones our own CRMs have. Yours gets the ones your business needs, named in the written scope.
Leads, deals and their history
Your statuses in your words, a deal created and the lead moved in one transaction, a history of every change with who made it, and a database rule that refuses a closed deal without its price and date.
A website intake that never loses a lead
The form writes to the CRM before anyone is told, a key makes retries harmless, spam is filtered in three cheap layers, and each failure has a decided outcome instead of a silent gap.
The chat as the manager’s screen
Leads arrive in the team chat with buttons that are status changes, and a purchase can be recorded from a one-line reply. The CRM stays the source of truth; the chat is the fastest way into it.
Sign-in and roles
Owner and manager roles, profit and exports for the owner only, hashed passwords and sessions, and login limits. Nothing a small team has to administer.
Open to AI agents
A published lead format an AI assistant can call, a read-only feed with no personal data for analytics, and a door for agents that read and propose rather than change.
Runs without an administrator
Nightly backups with an integrity check and an encrypted copy off the server, deploys that roll back on their own, and a CRM separate from your public site, so a bug in the CRM cannot take the site down.
How a custom CRM ships
The screens are the quick part. The order below puts the decisions that are expensive to change first.
Statuses first
Your lead and deal statuses in your own words, and the moment each one becomes true. Everything else hangs off this list.
Data model and intake
The tables, the rules the database enforces, and the website form writing in, with a decided outcome for every failure.
The manager’s screen
The CRM pages your team works in, and the chat integration if you want one.
Roles, reports, exports
Who sees what, the numbers the owner asks for, and a way to take your data out at any time.
Backups and deploy
Nightly backups, a deploy that rolls back on failure, and the read-only doors for analytics and agents.
Handover
The code in your repository, the runbook, and the CRM in your team’s hands.
The CRM we run ourselves
Not a demo. Three local businesses of ours — an electronics buyback, a device repair service and a car tuning workshop — run on one CRM built this way and copied twice.
The CRM was built for the buyback first, because a lead existed only as a chat message and there was no answer to how much the business made in a month. It was then copied file for file into the other two. Sign-in, sessions and user management stayed identical; the schema, the intake and the statistics changed, because that is where each business’s vocabulary lives. The buyback records a purchase from a reply in the managers’ chat; the repair service tracks devices in repair; the workshop shows every customer the same review request.
The businesses are unnamed by choice, so this is a description you cannot check. What you can open is ArendaOS, our own multi-tenant SaaS for rental fleets — a vertical CRM and ERP with money, documents and roles, live and named.

How much does custom CRM development cost?
The published band, before you ask for one.
A small custom CRM of the shape on this page runs $7,000–$12,000 and takes 2–3 weeks, at a fixed price agreed against a written scope. What moves it inside the band is the number of integrations — a chat, a telephony system, an accounting export — and how much reporting the owner needs, not the number of screens.
Two things sit outside it. AI features added to the CRM later — drafts, summaries, an agent reading the data — are a separate workflow in the AI automation band, $15,000–$30,000. And a CRM you intend to sell to other companies is a multi-tenant SaaS, which is a different build: SaaS development, $40,000–$90,000.
